Alliance Bioversity and CIAT Vacancies
The Assistant II will provide efficient and effective administrative, logistical, and operational support to a portfolio of projects and staff in the Arusha, Tanzania office. The incumbent will work under the direct supervision of the Scientist II/Country Representative.
Key Duties & Responsibilities:
- Serve as the focal point for processing requests made by research staff in the bean breeding program, ensuring compliance with institutional policies and procedures.
- Perform project administrative tasks, including logistic support, travel arrangements, and organizing meetings, conferences, seminars, and workshops.
- Provide administrative and financial support, including handling payments, travel claims, and other requirements.
- Assist research staff with the process and documentation for hiring interns, visiting research fellows, and consultants.
- Support research staff in acquiring goods and services and liaise with accounting staff about payments.
- Maintain an overview of the financial situation of the Bean breeding projects to ensure timely administrative support.
- Collaborate with research staff, PMOs, and administrative staff to improve efficiency between research and admin teams.
- Perform other relevant admin duties as assigned by the Supervisor.
Competences:
- Proficiency in Microsoft Office package, with advanced Excel skills.
- Intermediate command of English, both written and spoken.
- Sound knowledge of standard office procedures.
- Strong client orientation and service approach.
- Self-motivated, results-driven, and team-minded.
- Strong interpersonal, communication, and teamwork skills, with the ability to work with people from different cultural and national backgrounds.
- Well-developed skills in personal organization, priority setting, problem-solving, detail-oriented, and accuracy.
Terms of Employment:
This is a nationally recruited position based in Arusha, Tanzania. The initial contract is for one year, subject to a three-month probation period, and is renewable based on performance and resource availability. Moreover, this position is graded at BG05 level in a scale of BG01 to BG14, with BG14 being the highest level according to the Alliance job classification framework policy.
