The Central Corridor Transit Transport Facilitation Agency (CCTTFA), a multilateral agency formed through an Agreement by six governments (Burundi, DRC, Malawi, Rwanda, Tanzania, and Uganda), is dedicated to enhancing the efficiency of the transit corridor for smooth facilitation of transit trade. With its headquarters in Dar es Salaam, Tanzania, CCTTFA works with member state governments and development partners to improve transit trade efficiency through the Central Corridor’s integrated transport and logistics network.

The CCTTFA Permanent Secretariat is seeking a highly professional and competent Office Secretary. The role involves providing comprehensive administrative and secretarial support to ensure the smooth and efficient operation of the organization’s office.
Roles and Responsibilities:
Utilize software packages (Microsoft Word, Outlook, PowerPoint, Excel, Access) to produce, edit, and proofread correspondences, reports, and documents. Manage physical and electronic filing systems, ensuring the security and confidentiality of documents.
Prepare and manage correspondences, reports, and other documents. Type and distribute minutes of meetings. Coordinate the flow of information both internally and externally. Screen and direct incoming calls and mails; answer inquiries and provide information.
Archive, organize, and update office documents as per CCTTFA Guidelines and Standard Operating Procedures. Perform any other tasks as assigned by the supervisor.
Reporting/Coordination: The Office Secretary will report to the Director of Finance and Administration of CCTTFA or any other designated official within CCTTFA.
Skills and Experience
- Excellent interpersonal, intercultural, and organizational skills.
- Strong communication skills.
- Attention to detail, efficient time management, and ability to manage and prioritize multiple tasks.
- Minimum of 5 years of experience in an office secretarial or administrative role.
- Experience working with regional or international organizations supporting senior executives or management is an added advantage.
- Proficiency with office equipment and software (Laptops/Desktop, printers, office scanners, Microsoft Office).
- Ability to maintain confidentiality and handle sensitive information.
Minimum Qualifications:
Diploma in Office Management and Secretarial Studies (DOMS) / Secretarial Studies and Administration / or Secretarial Management Protocol & Etiquette or related field from a recognized university.
Bachelor’s degree in related fields and/or additional certifications in office management, secretarial studies will be an added advantage.
Proficiency in English spelling, punctuation, grammar, and other language skills. Knowledge of French will be an added advantage.
Length of Contract: The duration of the contract is 5 years, renewable subject to performance.
