Key Activities: Office Administration

Manage the reception function of the office, including phones, incoming and outgoing mails, deliveries, and records management. Oversee office administration, including logistics, security, and information management.

Ensure all office services (water, utilities, generator, internet, phone, etc.) are available and that office furnishings and equipment are maintained.

Ensure offices remain stocked with supplies and kitchen consumables, and monitor stock controls. Oversee maintenance, repair, and cleanliness of the office and premises, ensuring any needed maintenance is addressed.

Fleet Management

Coordinate all local travels from the location. Manage all SNV cars at the location, ensuring staff travels are well planned with the required resources. Ensure fleet is serviced, insured, taxed, and maintained, in compliance with our Motor Vehicle policy.

Asset Management

Ensure all assets are managed, secured, and maintained at the location office. Dispose of assets as per policy and register new assets into the system by finance.

Ensure assets are registered and coded.

Safety and Security

  • Liaise with the operations manager on location security.
  • Serve as the security focal point for staff and consultants.
  • Ensure regular maintenance and functioning of fire extinguishers, smoke alarms, etc.
  • Maintain a functional health and safety committee and first aid kits.
  • Prepare documents for submission to authorities (e.g., fire brigade compliance issues, OSHA).

Records Management

Ensure all records for day-to-day administrative work are in place and filed properly. Develop a record register for all files in the archive rooms, managing storage and annual reviews of documents.

Ensure project documents are submitted to the admin office and that records are properly maintained. Follow internal policy on records disposal with the right approvals.

Qualifications

  • University degree in social sciences, human resources, or any other related field.
  • Minimum 3 years of experience in administration, preferably for an NGO.
  • Sound general business practice and experience, able to work autonomously and in a team.
