Position: Data Entry and Stores Intern
Reports to: Stores Manager
Location: Arusha
Grade: Intern
Deadline: 28th July 2024
Duties and Responsibilities:
Collection of Materials: Collect purchased materials from suppliers or cargo transporters when the Procurement Officer is unavailable.
Material Handling: Hand over installation materials and tools to technicians going to site. Prepare DN’s and related documents, ensuring signed copies are filed properly after technicians return from site.
Store Reporting: Prepare and share installation stores reports with the Accounts department for client billing.
Vendor Management: Request quotes from vendors, track item availability and lead times. Prepare cost sheets and payment summaries as needed.
Inventory Posting: Post material issues on AccTan software based on deliveries by the Procurement Officer. Reverse unused materials back into inventory after installation.
Goods Receipt Note (GRN) Generation: Receive and register purchased items into AccTan software. Inspect received items, arrange them properly, and address any discrepancies with the transporter.
Work-in-Progress (WIP) Container Management: Organize and label items per project in the WIP container. Ensure materials for each project are identifiable and arranged properly.
Documentation: Ensure proper filing of invoice copies, LPO’s, and GRN’s before submitting to accounts. Manage paperwork movement between suppliers, stores, and accounts.
Stock Monitoring: Monitor and replenish stock levels, especially fast-moving items. Maintain an organized and presentable store with labeled SKU’s for ease of spot checks and stock-taking.
Data Management: Develop spreadsheets with formulas and templates for reporting and organizing data.
Qualifications:
- Valid driving license and good driving skills.
- Strong organizational skills and attention to detail.
- Proficiency in MS Excel and good communication skills for coordination with other departments.
- Knowledge in procurement and logistics (diploma/certificate) with at least 1 year of experience.
- Punctuality, discipline, and a proactive attitude.
- Hands-on, communicative, and capable of taking initiative.
- Experience in inventory management and procurement (certificate/diploma).
- Proficiency in MS Office (Excel, Word, PowerPoint) for report and presentation preparation.
- Positive attitude, boldness, and no tolerance for laziness or excuses.
